ABOUT THE ROLE:
We are seeking a proactive and detail-oriented Office Administrator to ensure smooth operations across administration, HR support, and procurement. This hybrid role is primarily remote, but occasional office visits (around once a week) are required for tasks like handling laptops, parcels, and documents. You will be central in supporting both employees and management while also contributing to public procurement projects in Lithuania and across the EU.
WHAT YOU WILL BE DOING:
- Procurement support: searching and reviewing public procurement notices (LT/EU), analyzing technical documentation, collecting required data, preparing and submitting proposals in CVP IS, and communicating with contracting authorities.
- Employee lifecycle & HR support: onboarding/offboarding (documents, equipment, access), monitoring holidays/sick leave, sending timesheet reminders, assisting in recruitment, events, and H&S compliance.
- Administrative operations: managing documentation and correspondence, supporting accounting with accurate month-end information, coordinating travel and bookings, organizing office supplies, distributing laptops and gifts, and handling parcels.
- Office culture & leadership: contributing to a positive work environment, being the go-to contact for office inquiries, and guiding staff on processes to ensure productivity.
- Executive support: assisting CEO and COO with bookings, reservations, and ad-hoc requests.
WHAT WE EXPECT:
- At least 1 year of administrative experience.
- Public procurement experience (LT/EU) a strong advantage.
- Higher education.
- Strong English and excellent computer skills.
- Ability to adapt quickly, communicate effectively across cultures, and handle multiple priorities.
- Drivers license (Category B).

Salary ranges (for employees in Lithuania only): 1800 - 2500 β¬ gross (the given range is flexible and depends on your experience. Candidate with prior extensive public procurement experience could be offered salary above this range).
